TO ORGANISE A PARTY OR AN EVENT

Have a permanent List of invitees prioritised on your liking to them

It is always convenient to have a permanent separate lists of close friends, close relatives, relatives, neighbours..,etc so as to help decide on the number of people that you are going to invite.

PLAN

  • Make a program schedule
  • Does it rain usually during this time
  • What if it rains? Arrange umbrellas and buckets to put them
  • Do kids sleep during this time
  • Does the time clash with any TV serials, temple function or any others.

THE HALL


  • Arrange hall according to the number of invitees. Visit the hall and see for yourself the facilities there and the condition of the hall. See whether it is maintained well.
  • Arrange somebody to clean-up before and after lunch and in the morning of the function the whole auditorium or hall
  • What about toilet. Do we have to collect the keys if it is kept locked.
  • Is there water in the toilet and at the place of wash
  • Where will people sit
  • Where will you arrange the tables and chairs from
  • What sort of decoration do we do for the hall
  • Decorate hall with balloon, crape paper
  • Photo of Guru / Late elders, garland, oil-lamp, oil, wick, match- box, etc.
  • Should we hire extra pedestal fan. Are all the ceiling fans working
  • Make banners guiding guests about the venue, Toilets, Wash, etc.
  • Arrange for volunteers for announcements, gifts distribution,Showing people to toilets or getting them to their chairs or whatever
  • Have a banner which announces HAPPY BIRTHDAY,Or whatever the function represents
  • First-aid box
  • Photographer / buy film roll, batteries for flash
  • Stand-by taxi
  • Stand-by generator, emergency light or torch.

FOOD

  • Arrange for lunch / food
  • Talk to caterer about menu, charges & number of people.
  • What about tables for food
  • Paper plates, Ice-cream cups, paper glass
  • Big vessels for any home made food distribution
  • Milk & sugar for Sweet Milk / Tea / Coffee
  • Do we have to serve any refreshments as soon as the guests arrive
